The following document provides instructions for configuring Identity Server to synchronize with Paychex, Inc.'s Flex® Time cloud-based time and attendance management system, which a component of their Paychex Flex infrastructure.
Note: Your particular implementation of Paychex Flex® Time may appear differently than that shown in the images in this document. Please contact your Paychex support representative to get guidance regarding the location of the menus described.
Information Required from Paychex
1. Log into your Paychex Flex instance.
2. On the left-hand side of the screen, click "Time and Attendance".
3. In the sub-window that appears, click on the carrot icon in the upper-right corner.
4. Click the Configuration icon (gear).
5. Now click on General>Web Services on the left-hand side of the screen. Please record the following information:
a. Shared Key
b. In the "Service URLS section: Record the address that contains the "...ws-json..." address (ex. https://stratus-n1.cloud.paychex.com/Service/ws-json/[version])
6. Now click on “General Configuration” on the left. Record the “Payroll ID:” number. Note that this will be entered in the "Customer Alias" field in Identity Server.
Setup the Synchronization
1. Log into your Identity Server instance.
2. Click "Settings" along the top of the screen. Then click "Sync" on the left-hand side of the page.
3. In the sub-window that appears, click "Setup Sync". In the pulldown menu that appears, select Paychex, then click "Continue".
4. Click Edit Settings and set the following:
- Click the "Check for updates" pulldown and choose the desired update frequency:
- Manual – full sync only runs when the user clicks Run.
- Automatic full scan every 12 hours
- Automatic full scan every 24 hours
- Automatic full scan every 1 minute
- Username (the administrative username)
- Password (the administrator password used to log into Paychex)
- Shared Key (from step 5a above)
- Customer Alias (Payroll ID from step 6 above)
- Webservice Api URL (URL recorded in step 5b. above. NOTE that you must add "2.0" in place of the "[version]". Ex. https://stratus-n1.cloud.paychex.com/Service/ws-json/2.0)
- Delete Missing Subjects: if this box is checked, any profiles no longer present in Paychex Flex® Time will be deleted from Identity Server.
5. Click "Apply".
6. If you have selected "Manual..." for Check for Updates the sync will not run until you click Run Now. If you have selected the 12 or 24-hour, or 1-minute options, the sync will run as soon as you click Apply, then every 12, 24 hours, or 1-minute thereafter.
7. Once the sync is complete you will be able to see all user profiles by clicking on the People page.
8. Click HOME on the navigation bar at the top of the screen. Here you will now see a notification that the IDS is due to synchronize with Paychex as well as the current progress of the synchronization process.
Setup of the Access200 reader
NOTE: The following steps are specifically for configuring the Access200 reader for time and attendance reporting with Paychex Flex® Time. See the articles titled User Identification Modes and Configuring automatic enrollment on the Access200™ for information on additional Access200 settings.
1. From the Identity Server homepage, click "System". On the new page that appears, click on the
Access200 reader you would like to configure for user time and attendance interactions.
2. A new tab will open in your browser for the Access200 reader selected. Click "Settings" along the top of the screen, then click "Mode" and "Change Identify Mode".
3. On the page that appears, select the checkbox for "Require Paychex time and attendance reporting".
4. Using the same information captured in the steps above, complete the following fields:
- Username (the administrative username)
- Service URL (URL recorded in step 5b. above. Note that "2.0" IS NOT required on the end of the URL in this field.)
- Password (the administrator password used to log into Paychex)
- Shared Key
- Customer Alias (Payroll ID from step 6 above)
- Use Access-200 time for punch times
5. Click "Save".
6. Repeat Steps 1 through 5 for each Access200 reader you wish to configure for time and attendance reporting with Paychex Flex® Time.
